2. Data we collect

We collect information necessary to provide and secure the Service.

• Account data: name, email, organization, role, authentication logs
• Content data: documents, files, comments, templates, and metadata you create
• Usage data: feature usage, AI token consumption, audit and activity logs
• Billing data: subscription status, invoices (payment card data is handled by our payment processor)
• Technical data: IP address, browser type, device identifiers, cookies

3. How we use data

We use personal data to operate, secure, and improve the Service.

• Provide authentication, collaboration, storage, and AI features you request
• Process payments and manage subscriptions
• Send service, security, and billing communications
• Monitor abuse, enforce policies, and comply with law
• Analyze aggregated usage to improve product performance

4. AI & third-party processors

When you use AI features, relevant prompts and document excerpts may be sent to AI model providers (e.g., via OpenRouter) to generate responses. We configure providers for API use only and do not permit them to train on your data for their own products where contractually available.

We also use infrastructure providers for hosting, storage (e.g., AWS S3), email, analytics, and payments. A current list is available on request at support@veloai.cloud.

5. Legal bases (EEA/UK users)

Where GDPR applies, we rely on contract performance, legitimate interests (security, product improvement), consent (where required), and legal obligation as applicable to each processing activity.

6. Retention

We retain account and billing records as long as your account is active and for a reasonable period afterward for legal, tax, and dispute resolution purposes. You may delete documents and request account deletion from Settings or by emailing support@veloai.cloud.

7. Security

We use encryption in transit (TLS), access controls, organization-scoped data isolation, and audit logging. No method of transmission or storage is 100% secure; report concerns to support@veloai.cloud.

8. Your rights

Depending on your location you may have rights to access, correct, delete, restrict, port, or object to processing of your personal data, and to withdraw consent where processing is consent-based.

• EU/UK users may lodge a complaint with their supervisory authority
• California residents may have additional rights under applicable state law

9. International transfers

Data may be processed in the United Arab Emirates, India, and other countries where we or our subprocessors operate. We implement appropriate safeguards for cross-border transfers where required.

10. Children

The Service is not directed to children under 16. We do not knowingly collect personal data from children.

11. Changes

We may update this policy and will post the revised version with an updated date. Material changes may be notified by email or in-app notice.
